Editing User Form Permissions

If a user is experiencing any of the following issues, this is likely a sign they do not have the correct form permissions:

  • Cannot see transactions in reporting for a certain form
  • Cannot see transactions in settlement reporting, or the amount reported in your settlement report does not match your bank statement.
  • The Refund and Void Buttons do not show up on the transaction details modal.
  • The form does not show up in the forms summary list
  • The form does not show up in the Virtual Terminal drop down list
  • Has access to see forms and transactions they were not expecting to see in reporting.

To correct these issues, an Account Owner or a user with the "Manage Users" permission must edit the user's form permissions settings.


To Edit Permissions For a Specific Form:

  • Navigate to the Users List from the Main Menu by accessing Organization > Account Management > Users.
  • Click the Edit icon for the user you wish to edit.
  • On the user's profile screen, scroll down to the "Edit Permissions" section.
  • Click to the "Form" tab.
  • Open the Drop down menu and select the form for which you want to edit permissions.
  • Once you've selected a form, the user's permissions settings for that form will appear.  
  • Note that certain permissions are dependent on others.  For instance, if the 'View Transactions' permission is not assigned, "Edit Transactions" and "Void and Refund" will be grayed out, since these permissions are dependent upon the user being able to view the transaction in the report.
  • Edit permissions by checking or un-checking the green permissions circles.  These changes will be applied in real time, and a confirmation notification will appear when you make a change.

If you want to edit a user's permissions for all forms at once or for multiple forms, you can edit the user permissions from 'See All Form Permissions.

To Edit Permissions for Multiple Forms:

  • Navigate to the Users List from the Main Menu by accessing Organization > Account Management > Users.
  • Click the Details icon to open the "See All Form Permissions" modal.
    • Alternatively, if you are on the user's profile with the 'Form' permissions tab open, you can click the blue link for "See all form permissions" above the form drop down list.
  • A modal will open will all forms.  Make changes by clicking permissions checkboxes, which will change the permissions in real-time.  You can change a permission for all forms at once by clicking the blue checkbox at the very top of a permission column.
