When should I set up a sub client?
A
If your organization manages payments or donations for entities that should not share transaction data (i.e. departments within your organization or other nonprofit organizations), the best way to restrict the users of these entities you manage is to create a Sub Client for each entity.

How do form transactions get assigned to a Sub Client?
A
Each form can be assigned a sub client in the form's settings. This means any transaction processed through that form (including past transactions) will be assigned that Sub Client's ID designating them to the sub client (  assigning forms to Sub Clients ).

How do API transactions get assigned to a Sub Client?
A
For API transactions, your developer must include the Sub Client's ID as a data input for one of the the transaction's Sub ID fields.

In reporting, can Sub Client users see all the data that goes with a transaction?
A
Sub Client Users can only see the data that you as the parent client have given access for them to view. To learn how to determine what data columns sub clients can see in Reporting, visit Manage Sub Client Settings.

What Sub Client data is restricted?
A
Data that is restricted to being viewed only by parent clients and other users of the sub client include:
  • Transactions with the Sub Client's ID
  • Form Summary will only display forms assigned to the Sub Client
  • Users list will only display users assigned to the Sub Client
  • Settlement reports for the sub client's merchant accounts
  • Billing reports for the sub client's bank accounts
  • Sent emails for forms belonging to the Sub Client

What data can a parent client user see?
A
A parent client user can see all data pertaining to their own client and any sub clients below the parent client. If the parent client (B) is in fact a sub client of a higher parent client (A), parent client B is unable to view data for parent client A or any sub clients under parent client A of a higher or same-tier level.

What does assigning a merchant account to a Sub Client do?
A
Assigning a Merchant Account means that the account will only show up in the merchant account list for that sub client and/or it's parent client.

What does assigning a bank account to a Sub Client do?
A
Assigning a Bank Account means that the account will only show up in the merchant account list for that sub client and/or it's parent client.

How do I add a sub client?
A
You must contact Acceptiva customer service at clients@acceptiva.com to request that we set up a Sub Client account for you. You are able to manage sub client settings, assign forms to sub clients, and add sub client users in the Acceptiva Client manager yourself after the account has been set up.
